As one of the leading enterprises in the electronics industry in Qiantang District, Hangzhou, Dynabook Technology (Hangzhou) Inc., formerly known as Toshiba Information Machine (Hangzhou) Co., Ltd., is the sole global design and production base for Toshiba's dynabook brand of notebook computers. Dynabook Technology occupies an area of 173,000 square meters, employs 1,500 people, and has an annual output value of 6.5 billion RMB.

In this article, we will explore how Dynabook Technology, in collaboration with the AlphaFlow process digitalization platform, is advancing unified process asset management, quickly responding to new responsibilities, and continuously enhancing organizational efficiency.

1. Unified Process Platform Enhances Management Efficiency

Dynabook Technology aims to introduce a unified process digitalization management platform through AlphaFlow to reduce data duplication and manual workload in daily operations. This will significantly enhance the automation capabilities of common personalized scenarios such as customs clearance management, asset management, budget management, and seal maintenance.

By centering on business processes, the company will integrate existing systems like the OA system, IOS customs declaration system, and HR system, breaking down information silos between different departments and IT systems. This will ultimately create a unified application, service, process, and portal management. While strengthening core business control, it will also improve resource utilization and business response speed. Through this platform, employees of Dynabook Technology can log in with a unified account to initiate various processes, including asset purchases, new product registration, free item applications, asset removal, and NPI-related processes for engineering and technology.

2. End-to-End Management of Clearance Items Simplifies Procurement

Which users have procurement and inventory viewing permissions?

How are purchased items defined and managed for inventory levels?

What are the differences between order-based and non-order-based procurement processes?

While raw material procurement provides the necessary materials for Dynabook Technology's daily production, the procurement of non-raw materials ensures the supply of essential resources. In this project, Dynabook Technology has implemented end-to-end process management for six categories of non-raw material clearance items: equipment, high-value components, low-value components, infrastructure materials (trolleys and components), construction materials, and consumables. The process starts from the procurement application, goes through supplier delivery, customs declaration by the import and export department, and ends with warehouse receipt and storage.

Through unified process standards and templates, the requesting departments and personnel can manage the entire lifecycle of procurement processes for various items such as seals, belts, filters, and signal sensors on the platform. Company management and relevant warehouse departments can better control both incoming and outgoing assets, ensuring that company assets are managed within a controllable range, thus effectively improving the integration and utilization of company assets.

3. Process Robots Automate Seal Usage

The management of clearance items and various operational processes involves multiple departments and complex personnel, making it challenging to manage. To further standardize the use of electronic seals, Dynabook Technology has implemented a system that automatically identifies the process handler and invokes the corresponding seal, enhancing the security of seal usage. During the approval process, one-click automated sealing is enabled, and the process forms will support electronic seals and handwritten signatures for units, departments, and individual employees, making the approval opinions clearer and more explicit.
